AAFSW Seeks an Office Manager

AAFSW seeks an Office Manager with strong organizational skills, an understanding of the U.S. State Department and the Foreign Service community, and a keen interest in membership development. Created in 1960, AAFSW is a membership-based non-profit association, affiliated with the U.S. Department of State as an employee service organization.  We are dedicated to supporting the needs of the U.S. Foreign Affairs Community, including Foreign Service and Civil Service employees, spouses, partners, members of household and retirees.  AAFSW is an equal opportunity employer. 

Responsibilities:

  • Answer telephone and email queries; draft and send correspondence.
  • Assist and collaborate with AAFSW Board of Directors, program managers, volunteers, contractors, and other internal clients.
  • Organize and electronically disseminate information, including board meeting agendas and minutes, invitations, flyers, etc.
  • Organize and maintain association files, including newsletter, financial and other reports; maintain association databases, promptly entering and updating data, creating additional databases as needed.
  • Manage the online membership database and participate in membership growth strategies; present regular summaries on membership growth and activity;
  • Perform minor bookkeeping tasks including billing and processing payments received for membership, meetings, events, and other miscellaneous receipts. Seek approval and pay routine bills and vouchers.
  • Assist with event planning, which includes compiling attendee lists, submitting access requests, assisting with guest check-in, arranging VIP guest escorts, managing venue/room reservations, etc.
  • Coordinate volunteer activities and build strong relationships with new volunteers.
  • Maintain office and computer equipment in good order and condition; keep office neat and well-organized for use by board members and volunteers; order basic supplies, as needed;
  • Coordinate with the newsletter manager to obtain and electronically disseminate electronic and print copies; coordinate with the webmaster to publish information to the website.

Skills:

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Creative critical thinking and problem-solving skills.
  • Attention to detail and demonstrated experience with data entry, data maintenance, and reporting.
  • Proficiency in Microsoft Office, Google Workspace, Canva site. Familiarity with web-based CRM or membership software is a plus.
  • Understanding of the U.S. State Department and the U.S. Foreign Service community.
  • Ability to work independently with minimal supervision.

This is a part-time on-site position 20 hours/week with a maximum of 30 hours/week when required, with telework flexibility, and Department of State badge and parking privileges. More information at www.aafsw.org.
